refunds, token notes ACW4 and SS

We will have our 3+1 open soon after an extensive rehab. We have 3 ss bays and a laser 4000 with a Hamilton ACW4 Auto cashier. It has a Hamilton validator. The auto cashier and ss bays have cryptopay. I've heard enough about not giving cash refunds but I am looking for advice on how to assist unhappy customers. I could meet them at the wash for the SS and start up the SS bays for them (I suppose I can do the same for the IBA). I would like a way to mail them a coupon or something of the sort for a free or discounted wash in the IBA if I can (Token notes? maybe?) We are new to the industry and you all have been so helpful so far. I know you all have dealt with how to handle refunds. Also, I'm looking for a coupon or something similar that can be used in the IBA as promotional items when I'm talking to people it would be nice to have a way to give them a free wash without having to meet them at the wash. Any advice is appreciated!

With the Hamilton gold line, DAN system and some additional software you can produce one time codes and or use an app to activate the wash. I have the DAN and will either mail a card or in some cases of equipment failure I’ll issue a credit card credit or cash. I do not have the next step upgrade with the app and the one time codes....but have seen it in operation....pretty nice. Also with the gold line and dan I can set up reusable codes....but you’d need to change these very fast afte each use. I’m not sure what is available with the ACW4
 
There isn’t a lot you can do with an older ACW-4. I don’t think I’d use Token notes. I’d probably use a high value metal token, say a $5.00 token, that way you can use it in your bays or vacuums also.
 
Randy - I'm just curious why you wouldn't use Token notes? I only ask because I don't know much about them. Thanks. Also we have Ginsan multitrons in the ss bays and wondering if they can be programmed to take a higher value token?

Your kind of limited on what you can do with the Token note, you can’t give a refund in a bay coin box or on a vacuum with a token note, unless your using a Hamilton changer, a XE validator and dispensing Tokens from your changer. With a high value token you can do more with them. I tried to find the spec’s on the multitrons, couldn’t find anything, I wonder if they still make them. The ones we had years ago were junk.

Is there a cheaper way to get token notes or something similar? Our multitrons are brand new from Ginsan and we are programming them to accept dollar coins and quarters. I will look deeper into the specs to see if they can also accept a token. Thanks for the advice.

Yes you could use Token Notes for refunds. If you have a Hamilton bill changer with a XE validator you could also use them to dispense change. You have to order the Token Notes from Hamilton, there is a minimum of 2000. Here's the order form so you can get an idea as to what they cost. http://www.hamiltonmfg.com/downloads/forms/1079.pdf
 
Bert, keep your eyes open for some activation options that cryptopay will be able to do. I was talking with them in ac and they are working to finish up a way to activate a bay, vac wash through your cryptopage. I liked what they were showing and sounds like it will be operational soon.

I didn't know they were working on that but really like the concept. They have supposedly been working on gift cards for several years. I'm not sure what the holdup is but we sure like the attendant cards they came out with a few months ago.
 
Thank you guys for the help! I have the application sent in to Worldpay. Just waiting to hear back and get the swipers set up! Tokenotes and high value tokens look like they are going to be the best way to go for now. I am excited that Cryptopay will likely have some more options in the near future.
